1. Who we are
Double Vision Health Club Ltd, company number 07980675, registered office 27 St Cuthberts Street, Bedford, MK40 3JG. We trade as The Training Gyms and operate gyms in Bedford, Milton Keynes, Northampton, Hitchin and St Albans.
We are the data controller for the information described in this notice. We are registered with the Information Commissioner’s Office under registration number ZC214183.

This notice covers everyone we hold information about — visitors to our website, people who enquire, and people who train with us.
If you visit our website or enquire: your contact details, what you asked about, and technical information collected through cookies (see section 9).
If you train with us: your contact details, health and fitness information — including what you tell us about your health and any injuries, your measurements, photographs and progress — records of your attendance and coaching, and your payment details.
Health and fitness information is special category data under UK GDPR. We treat it with particular care.
If we record a conversation: audio or video of coaching conversations, but only where you have agreed. See section 5.
3. Why we use it, and our legal basis
To deliver coaching safely. We need your health information to know what you can and cannot do, what to adapt, and when to stop. Our basis is performance of our contract with you, and for health information specifically, your explicit consent.
To run the Challenge and decide refunds. Attendance, check-ins, food logs and measurements determine whether you win your money back. Basis: performance of our contract.
To take payment. Basis: performance of our contract.
To train and develop our coaching team. Where you have agreed, we use recordings of coaching conversations to train our coaches and improve the quality of what we do. Basis: consent.
To keep records in case of a claim. Coaching and health records are our evidence if someone brings a claim against us. Basis: legitimate interests — defending legal claims and meeting our insurance obligations. You have the right to object to this.
To send you marketing. Only where you have agreed, or where you are an existing customer and we are telling you about similar services. You can opt out at any time. Basis: consent, or legitimate interests for existing customers.
To use your photographs or testimonial in marketing. Only with your separate written consent, which is entirely voluntary and never a condition of anything.
To measure our advertising. Where you have accepted advertising cookies, we share limited information with Meta and Google so we can see which adverts work. Basis: consent.
You can withdraw consent at any time. Where we rely on consent for your health information, withdrawing it may mean we cannot continue coaching you safely, and we will talk to you about the options.
4. How long we keep things
Health and coaching records, including your health questionnaire, measurements, session notes and any incident records — 6 years after your last session. We keep these because a personal injury claim can be brought long after the event, and these records are how we would respond to one.
Food log photographs — 3 months after your programme ends.
Before and after photographs — 12 months after your programme ends, unless you have consented to marketing use, in which case for as long as that consent stands.
Recordings used for staff training — 12 months from the date of recording, or sooner if you withdraw your consent.
Enquiries that do not become customers — 12 months.
Payment and accounting records — 6 years, as tax law requires.
Marketing contact details — until you opt out.
6. Who we share it with
We do not sell your information and we do not share it for anyone else’s marketing.
We share your information with service providers who process it on our behalf, under contracts requiring them to protect it and use it only for what we ask. These include our member management system, our website host, our payment provider, and our email and automation tools.
Where you have accepted advertising cookies, we also share limited information with Meta and Google so we can measure our advertising. This includes limited information about actions you take, such as booking a session, which may be sent from our own systems as well as from your browser. It is shared in a hashed form and only where you have consented.
We may also share information with our insurers and professional advisers where we need advice or need to respond to a claim, and with anyone else where the law requires it or where it is necessary to protect someone’s safety.
7. Transfers outside the UK
Some of our providers are based outside the UK, mainly in the United States. Where information is transferred outside the UK we make sure appropriate safeguards are in place — either an adequacy decision or standard contractual terms approved for use under UK data protection law.

9. Cookies
Our website uses cookies to make it work, to understand how it is used, and to measure our advertising.
Essential cookies are needed for the site to function and are always set.
Analytics and advertising cookies — including Google Analytics, Google Ads, the Meta pixel and cookies set by our website host — are only set where you have accepted them through our cookie banner. Nothing beyond essential cookies is set until you choose.
You can change your choice at any time through the banner, or block cookies in your browser settings. Declining will not affect your ability to use the site.
Where our advertising cookies pass information to Meta or Google, those companies use it under their own privacy policies.
Our services are for adults. We do not knowingly collect information about anyone under 18.
We take appropriate technical and organisational measures to protect your information, including access controls limiting who can see member records. No system is completely secure, but we take this seriously and would tell you and the ICO if there were a breach likely to affect you.
We may update this notice. The current version is always on this page, with the date it was last updated at the top. If we make a significant change affecting how we use your information, we will tell you directly.
